Terms and Conditions

Introduction

These Terms and Conditions govern the agreement between The Midlands Circumcision Clinic (“the Clinic,” “we,” or “us”) and the patient or legal guardian (“you”, “the parent”, or “the patient”). By using our services, you agree to abide by these Terms and Conditions. If you do not agree, you should not proceed with our services.

1. Services Provided

The Clinic offers professional circumcision services for:

  • Infants (0-12 months)
  • Children (1-3 years)

We are a CQC registered clinic. We are committed to maintaining high standards of care in a safe, hygienic, and respectful environment.

2. Booking and Consultation

2.1 Initial Consultation

  • You are required to attend a consultation, either in person or virtually, prior to the procedure. During this consultation, we will assess the medical history and eligibility for circumcision.
  • The risks, benefits, and aftercare of the procedure will be explained, and you are encouraged to ask any questions you may have.
  • If you are unable to attend the consultation, you must review the information provided to you before the operation, which outlines the risks and benefits. By signing the consent form, you confirm that you have reviewed this material and have no further questions.

2.2 Booking Confirmation

  • Appointment details will be confirmed electronically, typically via SMS and email.
  • The Clinic is not responsible for non-receipt of notifications due to incorrect contact information provided, or issues with your email or SMS inbox.
  • For children under 12 months of age on the day of the operation, deposits are not required at the time of booking. For those aged over 12 months on the day, a deposit of £180 must be paid before the appointment.
  • Appointments must be confirmed at least four (4) days prior to the procedure. Confirmation can be made via email, SMS, telephone, or the Clinic’s online booking platform.
  • The Clinic reserves the right to cancel any unconfirmed appointments, with the loss of any deposits.
  • We may also cancel appointments due to circumstances beyond our control (e.g., extreme weather, health and safety concerns, or staff illness), but will make reasonable efforts to reschedule in collaboration with you.

3. Fees and Payment

3.1 Procedure Fees

  • The fees for circumcision services vary depending on age and medical complexity. Our full pricing details are available on our website.
  • The age used to determine the cost of the service is that on the day of the operation.

3.2 Payment Terms

  • Full payment is due on the day of the procedure, unless otherwise arranged.
  • A deposit is required for children aged over 12 months old. Information regarding deposit amounts will be provided at the time of booking.
  • We accept payments in cash or by bank transfer. We do not accept card payments.
  • Patients from outside the UK must pay in cash. International bank transfers are not accepted.

3.3 Cancellations and Refunds

  • Cancellations made more than seven (7) days before the scheduled procedure will receive a full refund, including any deposits paid.
  • Cancellations made within seven (7) days of the procedure are subject to a £50 cancellation fee, or loss of the deposit (if one is paid)
  • Cancellations made on the day of, or the day before the operation, are liable to the full fee being charged if that appointment is not filled by the clinic.
  • Refunds are not typically provided once the service has been performed.
  • If, after assessment, the procedure is deemed medically inappropriate for the patient, a partial refund will be issued. A £50 consultation fee will first be deducted from any refund.
  • If, after the consultation, parents choose not to proceed with the operation for personal preference despite it being deemed medically appropriate, no refund will be issued.
  • Paid review appointments are non-refundable. If you are unable to attend, your appointment may be rescheduled with appropriate notice, but no refunds will be issued for review appointment fees.

4. Medical Eligibility

4.1 Assessment

  • All patients must undergo a medical assessment before the procedure. The Clinic reserves the right to decline service if the procedure is deemed medically unsuitable. The final decision rests solely with the medical professional conducting the assessment on the day of the operation.

4.2 Pre-existing Conditions

  • You must disclose any known medical conditions during the consultation, including allergies, clotting disorders, and infections. Failure to do so may result in the postponement or cancellation of the procedure with loss.
  • The Clinic will not be held liable for complications arising from undisclosed medical information, whether the lack of disclosure was intentionally or unintentionally.

5. Consent

  • Informed consent is required from all individuals with parental responsibility before the procedure.
  • Consent forms, both written and digital, will be provided and must be signed and returned prior to the procedure taking place.
  • Proof of parental responsibility must be presented on the day of the procedure. If the father’s parental responsibility cannot be proven due to delays in obtaining a birth certificate, the mother must sign to confirm that the father has full parental responsibility. The Clinic is not legally responsible for any fraudulent declarations of parental responsibility.
  • Consent may be given remotely. By signing the consent form remotely, you confirm that you understand the risks, benefits, methods, aftercare, and potential complications, and that you have no further questions.

6. Aftercare

6.1 Aftercare Instructions

  • Detailed aftercare instructions will be provided following the procedure. It is your responsibility to follow these instructions to ensure proper healing.
  • Access to our “ePhotobook” aftercare resource will be provided upon request, subject to the completion of a request form and agreement to the terms of service. The ePhotobook is strictly for parental use only.

6.2 Follow-up Appointments

  • Follow-up consultations, deemed necessary by the aftercare team to monitor recovery or address complications, will be provided free of charge.
  • Follow-up consultations requested by parents that are not deemed clinically necessary by the aftercare team will incur a fee of £50.
  • A 24/7 aftercare hotline is available for queries, but it is not an emergency service. For emergencies, you should contact 999 or visit the nearest A&E department.
  • We aim to respond to aftercare queries within four (4) hours. This is a target, not a guarantee, especially during weekends or nights. If a response is not received in a timely manner, please contact our bookings team to escalate the query.
  • Aftercare advice can only be given in relation to the circumcision and not other health concerns.

7. Limitations of Liability

  • The Clinic takes all necessary precautions to ensure the safety and success of each procedure. However, we cannot be held liable for complications that arise from the procedure unless caused by our negligence.
  • Complications resulting from failure to follow aftercare instructions will be the sole responsibility of the patient or their guardian.

8. Data Protection and Privacy

8.1 Collection of Information

  • We collect personal information for medical, booking, monitoring and communication purposes. This data is handled in accordance with the Data Protection Act 2018 and the General Data Protection Regulation (GDPR).

8.2 Confidentiality

  • All patient information is treated as confidential and will not be disclosed to third parties without your explicit consent, except where required by law or to ensure patient safety.

9. Complaints

We strive to provide the highest level of care. If you are dissatisfied with any aspect of our service, please notify us in writing. We will address your concerns promptly and in line with our complaints policy.

10. Changes to Terms and Conditions

The Clinic reserves the right to modify these Terms and Conditions at any time. Any changes will be communicated via our website.
